Deine Aufgaben

  • Support the Head of Education Events by managing communications, agendas, meeting planning, team coordination, analyses, summaries, and travel arrangements
  • Organize and coordinate management and staff team meetings with the Global Education Events team, track follow-up actions, and ensure timely delivery
  • Maintain structured document management systems to keep information consistent and accessible
  • Coordinate internal and external communications for efficient and clear information flow
  • Act as the contact point for the Education Events team and stakeholders, ensuring timely follow-up and professional representation
  • Independently manage assigned projects, meeting objectives, timelines, and quality standards
  • Monitor deadlines, ongoing projects, and key commitments to ensure milestones are met
  • Prepare high-quality meeting minutes, reports, presentations, and materials for stakeholders
  • Prepare briefing materials ahead of important meetings to keep the Head fully informed
  • Identify risks or workflow bottlenecks early and propose solutions
  • Support the AO Davos Courses by organizing meetings, preparing minutes, managing action lists, assisting with annual Chairs meeting logistics, and providing onsite support during the event

Was du mitbringst

  • At least 5 years of experience in a similar position, preferably as an executive assistant or in event management
  • Excellent organizational skills and attention to detail, with the ability to manage multiple projects at once
  • Strong customer orientation and professional behavior
  • Experience in an international, multicultural environment, ideally in healthcare, medical, or life sciences
  • Ability to meet tight deadlines, prioritize tasks, and work independently
  • Motivated, energetic, trustworthy, loyal, and reliable
  • Proactive mindset with the ability to anticipate needs and take initiative
  • Strong problem-solving skills and the ability to propose solutions
  • High level of discretion and ability to handle confidential information
  • Strong technical skills, including Office 365, digital collaboration tools, Salesforce, and Concur
  • Excellent English skills (written and verbal) and good command of German
